Organizing Your Fundraiser
1) Always set an objective. Your objective should include a dollar amount as well
as the reason for the fundraiser. For example, a group must raise $3,000 for new
uniforms. Set a goal for each participant based on the amount your organization
needs to raise. Making sure that all participants understand the reasons for
holding your fundraiser will boost enthusiasm and participation.
2) Always set a deadline. I typically suggest that you run your fundraiser for 18
days (including 3 weekends). Limiting the length of your fundraiser will keep your
group motivated and on task.
3) Call a meeting before your fundraiser. State your objective and deadline. Go
over the order form and the uniqueness of these products so all participants are
familiar with them and excited to start selling. Get everyone enthused about
meeting your goals! Make the deadline clear to all participants and stress the
importance of handing in all sales on time. Late orders will delay delivery of your
customers’ products. Your customers will expect their purchases as soon as
possible. Prompt delivery will ensure customer satisfaction and repeat business!
4) Keep in touch with your group and update them on how the fundraiser is
progressing. An enthusiastic positive leader will maintain a focused and
successful fundraiser. Keep everyone enthused and involved.
5) Advertise your fundraiser! Mention your fundraiser in your organization’s
bulletin or online newsletter, post information on bulletin boards, remind
participants during meetings, games or practice. Talk about your fundraiser
wherever you go. Always have your sales brochure with you as you never know
when an opportunity to sell will arise.
Managing Your Fundraiser
Participants should always collect money when taking orders.
Request volunteers to help tally and sort orders. With larger fundraisers you may
want to appoint a chairperson to lead the group. Always be sure to check and
recheck your tally sheets and totals.
Tips for Participants
Before you begin selling make a list of everyone you know. Start with family and
friends, then neighbors, business acquaintances; anyone that you think would be
interested in contributing to your fundraiser. Stores will sometimes agree to let
you set up a small table by their entrance for your fundraiser. Always check with
the store and gain their permission before doing this.
Never let children sell door-to-door in unfamiliar neighborhoods. Younger children
should always be accompanied by an adult. Older children or teens should use
the buddy system and always tell their parents where they are going and when to
be expected home.
When you approach someone, say your name and the purpose of the fundraiser.
Explaining your goals will increase the chance of a sale. Speak clearly and keep
your speech short and concise. Practice a few times before you start contacting
people. For Example: Hi, my name is Traci. My organization is raising money for
new uniforms. Your purchase will help us reach our goal. Thank you!
